Reason for asking is, am agency and did a job the other day, finished, went to office to do paperwork/download and the usual person how did all that was off. The guy who was doing the job had no idea what to do and I had visions of the agency ringing me up in a couple of weeks saying you need to go back and download. We did get the download done but only by me saying it was a legal requirement and putting some pressure on him to do it.

No the legal requirement is you made the card available for download. If whoever makes a fuss that’s not your problem, put the card back in your pocket and go home… If they want you to go back at some point that’s not a problem either BOOK the time for payment.
YES, You can email the individual file… I do it every week due to the fact that I am based at a remote centre without office facilities… I have a card reader and software at home… each time I do this it creates a ddd file which I can attach to an email and send to whoever needs it… some would say its beyond the call of duty but it works and everyone is happy.

As Nick said your only legal obligation is to make your driver card available for download which you did.
However I can see your concerns about the agency asking you to go back to to the company to have your card downloaded, it’s easy to say you don’t have to, but if the agency say they can’t get paid so you can’t be paid until you get the card downloaded the whole thing gets complicated and on occasions messy.
As far as sending you card data by email is concerned, unless you use software that’s compatible with the companies software, in other words you can send a file that will be recognised by the companies software, the answer is no, printouts are not sufficient to fulfil the companies legal obligation.

All tachograph analysis software reads a .ddd file as that is the standard secure output file the tachograph card generates. What you may find is not all software can import a .ddd file which is down to the designers.
Of the software I have seen I know Tachomaster can import, and I believe SmartAnalysis can as well. I would expect the others to do that as well.
